What are the cancellation and credit card policies?
A credit card number is required for guarantee at the time of booking. The credit card provided will not be charged by NSBA Registration & Housing.
Your confirmed hotel has the right to charge the card for an advance deposit of one night's rate and tax per room after March 10, 2023. If you do not want the current card charged you have the option to replace it with a different card by March 9, 2023, or by providing a check deposit. The deadline for NSBA Registration & Housing to receive hotel deposits is March 3, 2023. Checks received after that date will be returned.
Friday, March 17, 2023 is the deadline to cancel reservations without penalty. Cancellations after that date will forfeit one night’s room & tax either by the hotel withholding the sum from an advance deposit check, or the hotel charging the credit card provided in the reservation.
The credit card number provided in the reservations cannot be charged by the hotels for anything other than advance deposits of just one night’s room & tax, or late cancellation and no- show penalties. If the attendees’ room & tax for all nights is being paid for, then full payment by check or a written credit card authorization needs to be provided in advance of their arrival.
Even with advance room & tax payment, all attendees will need to provide a credit card or debit card upon arrival to pay for any unpaid nights and all incidental charges unless other payment arrangements are made with the hotel.
Incidental Expenses:
Hotels will place an authorization hold on the attendee’s own credit or debit card totaling $50.00 to $100.00 per room, per night in anticipation of incidental expenses. Actual incidental expenses incurred during the stay will be billed to the card at check-out, and the remaining authorization hold will be released. It may take between one to eight days after check-out for the hold to disappear from the card statement.
How can I pay a hotel deposit by check?
Hotel room checks must be paid separately from conference registration.
Purchase orders are not accepted for hotel payment but can be used for conference registration.
