Is the Scientific Sessions meeting in-person or virtual this year?

Both! The Scientific Sessions will take place in-person at the New Orleans Ernest N. Morial Convention Center.  If you can't join us in New Orleans you can register for the virtual meeting instead. Corporate Symposia and the Exhibit Hall will only be offered at the in-person conference. Register for the in-person meeting and choose to receive full access to the virtual platform included in your registration fees through either September 5, 2022 or June 12, 2022.

ADA's COVID-19 Policy and VaxYes Verification Process Instructions

To promote safety and well-being, the American Diabetes Association (ADA) will require all attendees, exhibitors, staff, and vendors to be fully vaccinated* against COVID-19 prior to entering the New Orleans Ernest N. Morial Convention Center, in accordance with applicable law. All persons will be required to provide proof of vaccination status via ADA's thrid-party partner, VaxYes by GoGetDoc, prior to receiving their event credentials.

For easy onsite access to your digital vaccine pass, please utilize your mobile device. Please note, ADA will not access your health information. VaxYes will collect your status and notify ADA if you have or have not provided proof of vaccination.

Through VaxYes, each registrant must agree to ADA’s COVID-19 guidelines, complete the vaccine verification process which requires basic identification information, and upload your CDC vaccination card (except where prohibited by law). Once completed, the participant will receive confirmation that they are cleared to attend.

All attendees, exhibitors, staff, and vendors will also be required to wear facemasks indoors except when speaking or presenting, when eating or drinking in designated areas, and/or as otherwise required by applicable law and guidance.

*For purposes of its protocols, ADA utilizes the Centers for Disease and Prevention Control’s definition of ”fully vaccinated,” which may be found here: https://www.cdc.gov/coronavirus/2019-ncov/vaccines/fully-vaccinated.html.

HOW-TO:

  1. Visit https://www.gogetdoc.com/vaxyes/events/vaxyes-ada
  2. Click the box next to “I consent to GoGetDoc sharing my records with ADA.”
  3. Click the green “Get Yours” button.
  4. Read through the Information Page and then click on green button that reads “I Agree.”
  5. You will now be in a chat window. Enter your phone number & follow the prompts to enter your information. Please note: If you have a non-CDC vaccination card, please be sure to begin with an international number. And, be sure to note your vaccine dates as MM/DD/YYYY.
  1. Once submitted, you will have a VaxYes Pass in your mobile phone wallet. You will show your pass as you walk into the convention center and then receive a wristband indicating that you have cleared the vaccine checkpoint. Wristbands must be worn for the duration of the meeting.

What to expect when you arrive in New Orleans

Attendees are strongly encouraged to go through the Julia Street entrance to the New Orleans Ernest N. Morial Convention Center at their earliest opportunity to avoid running late to a session or meeting later on.

Security entrances will be located at the Julia Street entrance of the Convention Center and at the Shuttle Bus drop-off location at the other end of the Convention Center (near Hall G). Registration will be open 3:00pm-7:00pm on Thursday, June 2, and 9:00am-6:30pm on Friday, June 3. Sessions begin at 11:30am on Friday, June 3. At the Security Entrance(s), your VaxYes status will be reviewed. Once you have been verified by VaxYes, you will receive a red bracelet that you must wear for the duration of the conference. After receiving your red bracelet, visit the Registration Desk in Lobby D-E to pick up your badge and materials. The next time you enter the Convention Center, you need only show your red bracelet to verify that you have been cleared to enter the facility

How will I access the virtual meeting? What is my login and password?

June 1, 2022 – The site will be available giving you time to log in and familiarize yourself with the site. You will have limited access to the itinerary planner, program overview, ADA Meeting News, and professional membership information.

June 3, 2022 – Full access to the virtual meeting site begins!

Please allow up to 10 minutes after you register before trying to log into the site.

Go to the virtual platform starting June 1, 2022 to access the virtual meeting. Enter the last name on your registration and the registration confirmation number (as noted in the Registration Summary below) to log in. Your registration confirmation number begins with the letter “R” followed by 7 digits.

Login instructions and a Virtual Event Guide-FAQ are also available on the event website. If you have any questions after reviewing the FAQ, please do not hesitate to contact ADA staff at conventionoperations@diabetes.org.

The meeting officially begins on June 3, 2022 at 11:30 a.m. CST. Please see the Livestream Program Schedule for programs that will be streamed live on the virtual platform. These sessions will also be recorded so you can re-watch them later. Most of the other sessions on the program will be recorded on-site and available on the virtual platform the following day.

Please note that each attendee must be registered and paid in full to access the virtual meeting. Login information is unique to each attendee and cannot be shared.

All recorded content will be available to registered attendees through either June 12, 2022 or September 5, 2022 depending on the registration category for which you registered.

How can I get a copy of my registration confirmation which shows my Registration Confirmation Number?

You may log back into the ADA Registration & Housing Website to access your confirmation and resend it to any email of your choice.

- Log in to the ADA Registration & Housing Website either as a Member or Non-Member.
- Hint: if you are not able to access your registration using the Members tab, select the Not a Member tab and enter your email address.
- Upon login you will arrive at the Event Dashboard.
- Select the View Confirmation button.
- Enter the email address of your choice at the top of the page and click the Send button.

How do I claim Continuing Education credits?

Attendees can earn CE/MOC credit hours at the meeting. The latest information on Continuing Education can be found here.

What is the cancellation policy?

§ Name changes and substitutions are not permitted after April 21, 2022.

§ All cancellation and refund requests must be made in writing and sent to the ADA Registration & Hotel Support Center or faxed to (415) 293-4073.

§ For a full refund of the registration fee requests must be received by April 21, 2022.

§ Cancellation requests received after April 21, 2022 will receive a full refund of the registration fee less a $50 administrative fee. If you are unable to attend due to circumstances related to COVID-19 then a full refund may be issued.

§ ADA Research Foundation donations and Membership fees are non-refundable.

§ City Pins, Annual Review of Diabetes, and Shuttle Passes will be fully refundable if cancelled by May 26, 2022.

§ All attempts will be made to process refunds within 30 days of cancellation.  

How do I register as an Individual Attendee?

Individual Attendees can register online via the ADA Registration & Housing Website.

-Visit the ADA Registration & Housing Website.
-Either log in as a Member with your email address or Professional Membership ID and zip/postal code or as a Non-Member with your email address.
-Upon successful login you'll complete your initial profile.
-Proceed to complete your full attendee information, select the either an In-Person Meeting or a Virtual Only Meeting option, additional items, and professional information.
-You'll arrive to the Event Dashboard where you'll select the button to check out. Enter your credit card information, submit payment, and upon successful payment you'll arrive to the confirmation page. You'll also be sent an automatic email confirmation of your registration and payment.

Do I have to be a member of the ADA to register?

Membership to the American Diabetes Association is not required to register. However, by becoming a member of the ADA you will save $320 off your registration fees. Professional Membership provides exclusive, members-only education and resources that benefit you, your patients and your practice.

You may become a Professional Member when you register for the meeting. To register, please visit the ADA Registration & Housing Website. Log in as a Non-Member with your email address and proceed past the Attendee Information page until you get to the Membership Options page where you can select your desired membership category.

If you are a current member but your membership expires prior to June 30, 2022, you may renew your membership when you register for the meeting. To register, please visit the ADA Registration & Housing Website. Log in as a Member with your email address or your Professional Member ID number and zip/postal code and proceed past the Attendee Information page until you get to the Membership Options page where you can renew your current membership.

Note: If you join or renew your membership after you have registered you will not be eligible for the member rates as you must be a member at the time of registration. Early Career, Student, Community Health Worker, Associate and Emerging Nation Memberships do not qualify for member pricing.

Members must use their Professional Membership ID number or email address to sign in and register. What is included with a One Day Registration?

One Day registration is only available for the in-person meeting. One Day Registration provides admittance to all sessions and the Exhibit Hall and the Poster Hall (if open), for selected day. Access to the virtual meeting platform is also included through either September 5, 2022 or June 12, 2022. You may register for only 1 One-Day Registration.

How can I add Corporate Symposia to my registration?

Registration for Corporate Symposia will become available in early April 2022 for the in-person meeting only. If you have already registered for the in-person Scientific Sessions, you will be sent an email once the Corporate Symposia are available, at which time you may log in and register for these events.

Corporate Symposia are satellite programs that are planned and conducted by the corporate community in conjunction with Scientific Sessions. They provide attendees with additional educational opportunities. They will be held at the Hilton New Orleans Riverside. Please note that Corporate Symposia are not part of the official ADA Scientific Sessions program and that program content and continuing education credit (if applicable) are sole responsibility of the corporate supporters.

Once Corporate Symposia are available for registration in early April 2022, please follow these steps to add them to your registration:

-Visit the ADA Registration & Housing Website.
-Either log in as a Member with your email address or Professional Membership ID and zip/postal code or as a Non-Member with your email address.
-Upon successful login you will arrive at the Event Dashboard.
-Select the Edit Registration button.
-Proceed through the Attendee Information and Scientific Sessions Registration pages to the Corporate Symposia pages and select the desired symposia. You may register for one per time slot. Continue through the remaining registration pages until you return to the Event Dashboard.
-You'll also be sent an automatic revised email confirmation of your registration.

In April 2022 please visit the Scientific Sessions web site for information on the Corporate Symposia, including a detailed description of the events, dates/times, location and contact information for symposia organizers.

How do I register as a Student/Resident/Fellow?

Students, Residents and Fellows must submit proof of status attesting to current enrollment as a student, employment as a resident or appointment as a fellow to receive discounted registration fees.

One of the following must be submitted:

* Student/Resident ID that has an expiration date. If your Student/Resident ID does not have an expiration date on it, you may send it along with a copy of your transcript or letter of acceptance from your educational institution or Resident program.

OR

* A dated letter from your institution on letterhead, signed by an advisor or department head showing that you are currently enrolled as a student, employed as a resident, or have a fellowship.

To request the discounted registration fee please submit your proof of status to adasupport@cmrus.com or fax to (415) 293-4073. Upon receipt and verification of your proof of status you will be sent an Invitation Code via email to register.

How can I register as a Press/Media?

Credentialed members of the media may submit a request for complimentary registration. Media registration is limited to 2 individuals per outlet. Registration applications can be submitted to the ADA. If you have any questions, please send an email to SciSessionsPress@diabetes.org.

How do I register a group of 10 or more attendees?

Group registration is now closed. If you wish to register multiple attendees, please do so using the Not a Member? Tab on the registration web site and pay each registration immediately via credit card. Unpaid registrations are deleted from our system on a regular basis.

Enter all registrations using each attendee’s verified email address, as confirmation with login instructions will be sent to the attendee’s email address. You will be able to send a copy of each confirmation to an additional email address for receipt purposes.

Wire transfer payments are not accepted.

No name changes or substitutions are permitted.

Registration Fees, Membership Fees and Donations to the ADA Research Foundation are all non-refundable once purchased.

Access to all virtual content is available until June 12, 2022 or September 5, 2022. If you wish to register a new group to access the session recordings after June 12, 2022, please submit this request to adagroups@cmrus.com.

How do I request a Visa Invitation Letter?

For visa purposes, a Letter of Invitation from the American Diabetes Association may be personalized with your name, company and mailing address. The invitation letter (in PDF format) will print with the American Diabetes Association letterhead and will include an electronic signature. It should be accepted as an official document. Please visit the Scientific Sessions web site to download the letter. If you have any questions regarding the letter, please e-mail conventionoperations@diabetes.org.

Will there be a shuttle bus from my hotel to the convention center?

ADA shuttle buses are available to those attendees who have secured their housing through the ADA Housing with the exception of the below hotels which are within walking distance to the New Orleans Ernest N. Morial Convention Center:

Attendees who are housed in the official ADA hotels will receive a Shuttle Pass along with their conference badge. Shuttle Passes will also be available for purchase at a cost of $75.00 and good for the duration of the conference. You may purchase them in advance by modifying your registration on ADA's 82nd Scientific Sessions website or on-site at the Assisted Registration counters.

Exhibitor Registration

Exhibitor registration will open in February 2022. At that time, the Authorized Exhibitor Contact Personnel (as provided on the Exhibit Space Application) may register their Company's Booth Staff and/or Corporate Delegates using the User ID and Password provided by ADA Registration.

Exhibiting companies at the in-person meeting receive an unlimited number of complimentary Exhibitor Booth Staff badges. These badges allow access to the Exhibit Hall only. Sessions are not inlcuded with this type of badge access.

In addition to Exhibitor Booth Staff badges, an exhibiting company receives one complimentary Corporate Delegate badge (in-person meeting access) per 10 x 10 booth space. This number is not to exceed a total of 10 Corporate Delegate badges per exhibiting company. Corporate Delegate badges are not available for purchase, and companies are not allowed to change names of Corporate Delegate badges during the event. Once your allotment of Corporate Delegate badges has been fulfilled, you will have to register as a full attendee through the ADA Registration & Housing Website.

Please note: Exhibitor Booth Staff are not allowed access into session Rooms, only Corporate Delegates can access sessions rooms, however they are NOT eligible for Continuing Educational Credit.

Ordering Lead Retrieval Equipment

To learn more about the lead retrieval products being offered to exhibitors and to place an order, visit the ADA Lead Retrieval website, available beginning in February 2022. Please note that all orders must be paid in full at the time the order is placed. All orders being paid for by credit card must be paid online. How can I request a suite?

Before contacting ADA Housing to request a suite, we recommend that you make a room reservation first.

To request a suite, complete the required fields on the ADA SS Suite Request Form. Send the completed form to ADASupport@cmrus.com

Should you have any questions, please send us a message.

Non-exhibiting companies may not use a suite to promote products. If a company has products that are relevant to the attendee, then they are required to exhibit. ADA reserves the right to deny suite requests to companies that violate these policies.
