Is the 2023 AAAAI Annual Meeting In-Person or Virtual?

The 2023 AAAAI Annual Meeting will be held In-Person with a virtual component and all attendees will be able to select their preferred method of participation during registration (In-Person with Full Virtual Access or Virtual-Only). The majority of In-Person sessions will be recorded and available for on-demand viewing shortly after the live meeting dates.

What is the conference registration fee and what is included?

Registration fees for the meeting are determined based on each individual's AAAAI membership status and/or their current professional role. Please visit the AAAAI Annual Meeting website for more information including the complete list of registration fees.

The Annual Meeting registration fee includes admittance to all education sessions that do not require an additional ticket as well as the Exhibit/Poster Hall. In-person registrations also include the Featured Poster Session & Reception taking place Sunday, February 26 as well as access to purchase ticketed sessions (most of which will not be recorded) for an additional fee.

All Annual Meeting registrants will have full access to the virtual content of the meeting including additional pre-recorded education sessions, select recorded onsite education sessions and the virtual poster hall. Most ticketed sessions are not recorded due to the format of the session.

Virtual content and credit claiming will remain accessible through December 31, 2023.

Are there any health & safety or COVID protocols?

AAAAI’s leadership is continually reviewing all health and safety factors affecting the 2023 AAAAI Annual Meeting. We believe that we can once again safely bring together our highly vaccinated group with strong protocols in place. We also appreciate that the circumstances of each individual and their community, workplace and family may vary.

Do Fellows-in-Training, Medical Residents and Students receive discounted registration?

All AAAAI members including Fellows-in-Training, Medical Residents and Medical Students will automatically receive the appropriate discounted rate when they register online.

Fellows-in-Training, Medical Residents and Medical Students who are not currently AAAAI members will need to email their student ID or proof of status to aaaaisupport@cmrus.com for verification prior to starting the registration process. Our registration team will review and respond to all requests within one business day. Upon approval, our registration team will provide an invitation code to apply the appropriate discount and begin your registration process.

Medical Students and Residents: Please provide documentation of your status via academic record or hospital identification.

Fellows-In-Training: Please provide a letter of status attesting to your current appointment as a Fellow at your institution including the term start and end dates.

How do I access the virtual meeting? What is my login and password?

The virtual platform will open on Thursday, February 23. At that time, you will receive an email with a link to the platform. You will use your AAAAI credentials (username & password) to access the platform.

What is the cancellation policy?

Refund requests must be submitted in writing by emailing aaaaisupport@cmrus.com or by fax at (415) 216-2553. If the request is received within 72 hours of registering, a full refund will be issued. If the request is received after 72 hours, no refund will be provided; however, if an In-Person registration was initially purchased, it may be converted to a Virtual-Only registration at no additional charge. Full refunds will be provided for guest registration(s) and individual ticketed session(s) if the cancellation request is received on or prior to Thursday, February 16, 2023. Refunds will not be issued due to inclement weather, no-shows or for AAAAI Foundation activities.

Attendees registered for an individual education session, but not participating in the 2023 Annual Meeting, will be refunded the education session fee minus a $75 processing fee if cancelled by Wednesday, February 1, 2023. No refunds will be provided after that date.

If an attendee chooses to change from an In-Person registration to Virtual-Only registration (or, vice versa), they are allowed to do so. No additional fees will apply. If this change is made after Wednesday, February 1, 2023, the attendee should contact the AAAAI Registration team at aaaaisupport@cmrus.com for further assistance.

In the circumstance that AAAAI is not able to hold its 2023 Annual Meeting in person, all In-Person registrations will be converted to Virtual-Only registrations. No refunds will be offered. Attendees who registered guests will receive a full refund of the guest registration fee. Attendees signed up to participate in individual education sessions and other ticketed sessions will receive a full refund for each individual session if those events are not able to be held virtually.

Should an attendee no longer be able to attend in person, or AAAAI is not able to hold the event, each attendee is solely responsible for cancelling their hotel and travel reservations and is responsible for any fees related to their cancellation.

A new confirmation email will be sent after each change or correction.

How do I make changes to my registration?

Attendees are able to make changes to their registration, including changing from In-Person to Virtual-Only participation, at any time by visiting the 2023 AAAAI Annual Meeting Registration and Housing Website or by contacting our team at aaaaisupport@cmrus.com.

A new confirmation email will be sent after each change or correction.

Are group registration services offered?

Group registration is offered for organizations with 10 or more paid registrations for individuals who do not register individually, provide one method of payment for the full group and do not pick up badges individually*. If your organization meets all of those requirements, please download the group contract. For further assistance, please contact our Group Registration team at aaaaigroups@cmrus.com.

How do exhibitors register?

Each exhibiting organization has an individual designated to register all complimentary exhibit staff. Please contact your organization's contact or our registration team at aaaaisupport@cmrus.com for further assistance.

How do I obtain a letter of invitation to submit with my visa application?

At the bottom of each registrant's confirmation email, there is a link you can click to create your own visa invitation letter. If you need a letter of invitation prior to registering, please contact our team at annualmeeting@aaaai.org.

How do I claim CME/CE credit?

Attendees will need to log in to the virtual platform to claim CME/CE credits and/or certificate of attendance and participation. 

Virtual content and credit claiming is available through December 31, 2023.

When does housing open and close?

Housing and registration opens for AAAAI Members and non-members according to the following schedule: 

  • Wednesday, October 5, 2022:  AAAAI Fellows & Faculty
  • Wednesday, October 19, 2022:  AAAAI Members
  • Wednesday, November 2, 2022:  Non-Members
  • Wednesday, November 9, 2022:  Exhibitors

Please keep these important deadlines in mind in case you need to make any changes to your housing reservation:

  • Friday, January 13, 2023:  Exhibitor and group rooming list deadline
  • Friday, January 20, 2023:  Faculty, exhibitor and group deadline to cancel reservations without penalty
  • Wednesday, February 1, 2023:  Delegate deadline to cancel reservations without penalty
  • Thursday, February 16, 2023 by 12:00 pm CST:  Last day to make, change, or cancel a reservation through AAAAI Housing
  • Friday, February 17, 2023 and later:  Attendees must contact their hotel directly for any changes or to cancel their reservation

Is there a map that shows locations of the hotels?

Is it possible to request a suite?

There are a select number of suites available during the meeting. We recommend that you book a standard hotel room in your preferred hotel property and then contact our Housing Team to discuss suite availability and pricing by sending an email to aaaaisupport@cmrus.com with the following information:

  1. Provide the guest’s name and/or the confirmation number for the existing reservation you would like to upgrade to a suite.
  2. Confirm if the suite will be used for sleeping, meetings, hospitality functions, or any combination thereof.
  3. Does the suite need to have a bedroom separate from the sitting area?
  4. How many adults and children will occupy the suite?
  5. How many beds and what types (king and/or double) are needed?
  6. Please provide your top (3) hotel choices if your currently booked property is not able to accommodate the suite request.
  7. What is the desired price range of the suite?
  8. Please provide any additional details about activities in the suite or event needs.

How can I check the status of my request on a waitlist?

Are housing blocks available for international groups?

If you are a travel agent arranging for an international group of 5 or more individuals to attend the meeting, please contact International Group Housing (IGH) at info@aaaai-igh.com or visit our website www.aaaai-igh.com for more information. All IGH room blocks are inclusive of room rate and tax, porterage, and breakfast unless otherwise specified.

How do exhibitors reserve hotel rooms?

Each exhibitor’s planning contact is able to book hotel rooms individually or to reserve a block of 10 or more hotel rooms. Please contact your exhibit planning contact or our exhibit team at aaaaisupport@cmrus.com for further assistance.

How do I make change to or cancel my hotel reservation?

Attendees are able to make changes or cancel their hotel reservation by visiting the 2023 Annual Meeting Registration and Housing Website or by contacting our team at aaaaisupport@cmrus.com

On and after Friday, February 17, 2023, attendees should contact their hotel directly for any changes or to cancel.

What is the deposit policy?

Hotel reservations typically require a credit card to guarantee the first night's room & tax as a deposit. Please check the specific hotel information prior to reserving your room for specific details.

What are early departure fees and how can I avoid them?

An early departure fee is a fee charged by the hotel when you change your departure date to be earlier than originally confirmed. The best way to avoid these fees is to update your hotel reservation as soon as you plans have changed, but no later than during check-in. Please check the hotel information prior to reserving your room for specific details. 

How can I get a copy of my hotel confirmation?

The only confirmation number you will need is the number shown on your registration/housing confirmation email. If you are in need of that number, you are able to view it (as well as send yourself an email) by visiting the 2023 AAAAI Annual Meeting Registration and Housing Website or by contacting our Housing Team at aaaaisupport@cmrus.com
